What are Contacts?

Contacts in Vryno CRM refer to individuals or entities with whom a business interacts or has a relationship. They represent the key people or organizations that the business engages with, such as customers, prospects, partners, or suppliers. Contacts in Vryno CRM store relevant information like names, email addresses, phone numbers, job titles, and other details that facilitate effective communication, relationship management, and customer engagement.

Important Fields in Contacts

Title: Title for the Contact (Mr. Ms., or Mrs.)

First Name: First name of a contact

Last Name: Last name of a contact. This is a mandatory field

Email: Email address of the contact

Phone Number: Phone Number of the contact

Organization Name: Name of the Organization

Job Title/Designation: The role of the contact in the Organization

Owner: Assigning a user to a contact record makes them the owner of the record

How to Create a Contact in Vryno CRM

There are three ways to create a contact.

  1. From the Contacts module

  2. Using Quick Create

  3. By importing

Creating a Contact from the Contacts module

Follow these steps to create a contact from the Contacts module:

Step 1: Log in to your Vryno CRM account

Step 2: Click on Contacts on the Top Menu Bar

Step 3: Click on “+ Contact”

Step 4: Fill the required details & click on Save or Save & New

Creating a Contact from Quick Create:

Quick Create is a handy option for creating records from anywhere in the CRM. You can identify Quick Create by the “+ icon” on the top bar of your CRM screen.

Follow these steps to create a contact using Quick Create:

Step 1: Log in to your CRM account

Step 2: Click the + icon on the top of your CRM screen

Step 3: Select Contacts, enter details and click on Save

Creating a Contact from Bulk Import

You can import multiple contacts at once using the Bulk Import Feature of Vryno CRM.

Setting up Contact Hierarchy & Associating Organization with a Contact

Setting up Contacts Hierarchy

Follow the steps below to set up Contacts Hierarchy:

Step 1: Log in to your Vryno CRM account

Step 2: Click on Contacts on the Top Menu Bar

Step 3: Choose and Click on the Edit Button for the Contact you want to setup hierarchy

Step 4: Go to the Reporting To field and choose from the existing contacts this record reports to

Click on the Record chosen as Reporting To and find the associated record in its Direct Reportees Section

Associating Organization with a Contact:

Please follow steps below to associate a record with a organization:

Step 1: Log in to your Vryno CRM account

Step 2: Click on Contacts on the Top Menu Bar

Step 3: Edit the contact you want to associate with an Organization:

Step 4: Navigate to the Organization Field and associate the relevant organization with the Contact

Step 5: Click on Save

How to Edit/Update Existing Contacts

1. By Editing Individual Contact

Step 1: Log in to your Vryno CRM account

Step 2: Click on Contacts on the Top Menu Bar

Step 3: Choose a contact and click on the edit button:

Step 4: Navigate to the field you want to edit and make the required changes

Step 5: Once you’re done making the changes, Click on Save

2. Edit Contact with Mass Update:

Step 1: Log in to your Vryno CRM account

Step 2: Click on Contacts on the Top Menu Bar

Step 3: Click on the three dots on the Top Right Corner of the screen and Click on Mass Update:

Step 4: Choose the conditions on the basis of which you want assign records

Step 5: Choose the records for which you would like to update and click on Mass Update

Step 6: Make the required changes and Click on Update

3. Edit Contacts with Bulk Import

You can update multiple Contacts at once using the Bulk Import Feature of Vryno CRM.

Mass Deleting Contacts

Follow these steps to Mass Delete contact records:

Step 1: Log in to your Vryno CRM account

Step 2: Click on Contacts on the Top Menu Bar

Step 3: Select the record/s that you want to delete by clicking on the checkbox next to them, click on Actions on the top and choose Delete Selected

Step 4: A dialogue box will appear in front of you for confirmation, click on Delete to delete the chosen records

Deleted records move to the recycle bin that can be restored if required later

How to send Mass Email in Contacts Module

Follow the below steps to send Mass Email to Contacts:

Step 1: Log in to your Vryno CRM account

Step 2: Click on Contacts on the Top Menu Bar

Step 3: Select the contacts you want to send the email to (You can select all records at once using the Select All button), Click on Action on the top and Select Send Email:

Step 4: Choose the Email Template and make a choice whether you want to send the Emails right away or you want to schedule it for later

How to Create Custom Views in Contacts Module

Follow the below steps to create Custom Views in Contacts Module:

Step 1: Log in to your Vryno CRM account

Step 2: Click on Contacts on the Top Menu Bar

Step 3: Click on the three lines on top left corner to access Custom Views & Click on +Custom View

Step 4: On the left side, Enter the name of the Custom View, below that choose the fields you would like to see in the module view from the Available Fields section and Click on the arrow pointing to the right side to bring them to the Selected Fields section

Step 5: On the right side, set up the conditions and Order for the records, you can also setup relation between two conditions like AND, OR, AND NOT, & OR NOT
